Job Title: Assistant Administration Manager
Job Summary:
We are seeking an experienced Assistant Administration Manager to join our team at Triumph International. The successful candidate will be responsible for managing the day-to-day operations of our office, ensuring a smooth and efficient working environment.
Key Responsibilities:
- Facility Management:
- Arrange technical support for lighting, ventilation, and E&M facilities
- Seek quotations and complete requisitions for renovation projects and repair & maintenance work
- Prepare repair & maintenance requisitions
- Supervise technical teams to carry out daily tasks
- Handle complaints and requests related to the working environment
- Handle emergency cases such as water leakage or flooding
- Liaise with building management for reviewing repairing, maintenance, and upgrading works/projects of building services systems
- Communicate and cooperate with contractors, service providers, and third parties
Health & Safety:
- Implement health and safety policies and guidelines
- Investigate workplace incidents and complete investigation reports
- Monitor and follow up on renovation projects and repair & maintenance work
- Carry out weekly and monthly safety inspections
Travel Management:
- Communicate with travel agencies, airlines, and hotels
- Seek the best prices for our corporation
- Simplify and facilitate the smooth arrangement of business trips
- Monitor the performance of travel agencies, airlines, and hotels in alignment with travel policy
Office Administration:
- Prepare department and building budgets and consolidation of regular reports
- Assist in formulating, reviewing administration policies, practices, procedures, and regulations
- Provide administrative support to user departments
Business Support:
- Streamline and drive continuous process improvement for the company
- Handle ad hoc projects and other duties as assigned
Requirements:
- Bachelor's degree or above in Facility Management, Property Management, or related disciplines
- Minimum of 5-year work experience in facilities management or related field
- Excellent leadership and team management abilities
- Strong organizational and multitasking skills
- Good communication and interpersonal skills
- Good command of both spoken and written English and Chinese
- Proficiency in MS Office and AutoCAD
