The Hong Kong Palace Museum (HKPM) is a dedicated museum that showcases the exquisite artefacts from Palace Museum’s collections and collaborates with other museums in research, exhibitions, education and public programmes. The museum comprises 7,800 square metres of gallery space for standing and special exhibitions on Palace Museum’s collections of paintings, calligraphy, antiquities and historical objects, as well as thematic displays on world cultures and civilisations.

Reporting to the Senior Manager, Exhibition Planning and Management, the Manager, Exhibition Planning and Management will work closely with the Palace Museum and multiple departments to ensure the timely and successful delivery of a dynamic, diverse and quality mix of exhibitions/rotations as well as related ancillary programmes in support of the museum’s institutional goals.

Candidate with less experience may be considered for the post of Assistant Manager, Exhibition Planning and Management.

You will be responsible for:

  • Assisting the Senior Manager, Exhibition Planning and Management to execute HKPM’s exhibition plan including but not limited to vetting and drafting of exhibition proposals and contracts, monitoring exhibition schedules and budgets. Coordinate multiple departments’ efforts to ensure the timely and successful delivery of exhibitions and related programmes according to the business plan;
  • Working closely with the Palace Museum, Beijing and other major museums, both mainland and overseas, as well as cultural institutions and other key stakeholders on exhibition logistics. Prepare all correspondence and exhibition-related documentation;
  • Managing the exhibit lists, shipping schedules, display requirements and security provisions. Make arrangements for museum couriers such as packing/crating, transit, accommodation, per diems and (de-)installation schedules to meet contractual obligations and internal administration procedures;
  • Setting up and maintaining the data in the Collection Management System to ensure exhibitions related information is accurate, up-to-date and recorded in a timely and professional manner;
  • Organising exhibition planning meetings as necessary to ensure good information flow and smooth delivery of each exhibition; and
  • Performing any other ad hoc job duties as may be required by the supervisor.

You should:

  • Possess a recognised university degree in relevant fields such as art history, museum studies, arts administration, cultural management or equivalent;
  • Have a minimum of 5 years’ experience in exhibition planning, management and execution or project experience gained in a similar organisation;
  • Have proven experience of preparing and negotiating agreements/contracts as well as handling license/permit applications in relation to the organisation of exhibitions and related public programmes in a museum or similar institution;
  • Have relevant experience in handling, packing/crating, transportation, insurance, security, installation/rotation/de-installation processes;
  • Possess robust experience in monitoring exhibition schedule and budget;
  • Possess the ability and proactive attitude to work under pressure to meet deadlines and manage multiple complex projects concurrently;
  • Have excellent organisational and diplomatic skills, as well as personnel management skills when working with large teams with diversified culture and experiences; and
  • Have excellent oral, written and interpersonal communication skills in English and Chinese, preferably with knowledge of Putonghua.
