Key Responsibilities
- Provide administrative support to a senior group or executive in a complex team environment.
- Coordinate complex internal and external meetings and conference calls.
- Interact with high-level business leaders in a professional and effective manner.
- Respond to and follow up on client requests.
- Prepare and distribute divisional correspondence, memos, letters, reports, and other documents as requested.
- Maintain complex and detailed calendars and prioritize meeting requests and related logistics.
- Maintain an understanding of firm policies and handle certain issues independently.
- Coordinate domestic and international travel arrangements and process expense reports.
- On-board new hires, process new employees, transfers, terminations, and other administrative tasks.
- Participate in general administrative duties, ad-hoc projects, committees, and group events.
- Coordinate and assist in planning social or work events for the department.
- Manage administration and review of local expenses and claims for local leadership team.
Requirements
- Minimum 2 years of administrative assistance and office management experience.
- Excellent interpersonal and communication skills.
- High attention to detail.
- Ability to maintain high standards despite pressing deadlines.
- Ability to solve problems quickly and efficiently.
- Ability to handle highly sensitive, confidential, and non-routine information.
- Self-starter with excellent anticipation skills, problem-solving, and follow-up.
- Demonstrated dependability and sense of urgency about getting results.
- Demonstrates high degree of integrity and confidentiality.
- Strong organizational skills.
- Comfortable working in a sometimes hectic, high-pressure environment.
- Ability to work well under pressure, adapt to unexpected events, prioritize, and multi-task in a deadline-driven environment.
- Must be able to prioritize a variety of time-sensitive tasks.
- Proficient in using document, spreadsheet, and presentation software.
Preferred Qualifications
- Prior experience in an international environment or multinational corporation.
- Business management skills, including word processing, spreadsheet, simple presentation, and reporting.
