Job Description:

  • Deliver high-quality front desk services efficiently.
  • Perform duties such as greeting clients, arranging mail and document delivery, maintaining organized records, updating phone directories, and general office administration support.
  • Answer and screen incoming phone calls, resolve caller inquiries or refer them to relevant parties promptly.
  • Manage meeting room bookings and scheduling, liaise with teams to arrange room setup and food/beverage requests, and ensure meeting rooms are tidy.
  • Serve as the go-to person for seamless front desk services in a professional manner.
  • Handle daily incoming faxes and emails, screen, and dispatch them to relevant parties promptly.
  • Coordinate office maintenance services and liaise with vendors (e.g., printers, washrooms, public areas).
  • Assist in coordinating office events and collaborate with other departments to provide necessary support services.
  • Manage offsite storage and record-keeping.
  • Assist with ad-hoc tasks as required.

Required Skills and Qualifications:

  • Punctual, mature, hardworking, and a good team player.
  • A positive attitude, willingness to learn and expand knowledge and skills, approachability, flexibility regarding hours and role, and a strong practical/common sense approach.
  • Confident front desk/client servicing experience with a sense of urgency.
  • Excellent phone manner, both internally and externally, with the ability to communicate clearly and listen effectively.
  • Commitment to delivering high-quality services.
  • Excellent interpersonal and problem-solving skills.
  • Ability to remain calm in demanding situations and work well under pressure.
  • High level of proficiency in MS Office applications.
  • Good command of English, Cantonese, and Mandarin.
