Job Summary

The Administrative Assistant will play a key role in supporting the Hosting Services team at HKEX. This role will be responsible for providing high-level administrative support, including maintaining departmental calendars, scheduling appointments, managing purchase requests, and assisting with human resources functions.

Key Responsibilities

  • Provide secretarial and general administrative support to the Hosting Services team
  • Maintain accurate and up-to-date departmental calendars, schedules, and records
  • Manage departmental purchase requests, including preparing orders and submitting payment settlements
  • Assist with staff on-boarding and off-boarding, seat arrangement, and logistics as needed
  • Prepare reports, presentations, and other documents as required
  • Coordinate and assist with departmental projects, including research, data collection, and analysis
  • Undertake special or ad hoc projects and other clerical tasks assigned by the Department Head

Requirements

  • Degree holder of any discipline
  • Minimum 3 years relevant administrative experience, preferably in well-established banking/financial institutions
  • Well-organized, attention to detail, ability to prioritize tasks and meet deadlines
  • Good team player, with good interpersonal and communications skills
  • Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint), email systems, and other relevant software applications
