Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Coordinator to support our team in Hong Kong. The successful candidate will be responsible for coordinating meetings, scheduling appointments, and managing calendars on behalf of senior professionals.
Key Responsibilities- Meetings & Calendaring
- Coordinate internal and external meetings, conference calls, and video conferences using Outlook and Zoom.
- Prioritize calendar items and inform professionals of meeting changes.
- Schedule meetings and conference rooms as necessary.
- Travel & Expenses
- Manage all aspects of domestic and international travel, including arranging flights, accommodations, and meeting materials.
- Maintain current passports and visas.
- Compose detailed itineraries and print boarding passes.
- Track flight schedules and ensure timely arrivals.
- Organize expense reports using Concur.
- Daily & Ongoing
- Coordinate travel for Global managers to destinations in Asia.
- Maintain document filing systems both electronically and in hard copy.
- Assist with office event logistics and coordination.
- Support other administrative team members during absences or vacations.
- Register professionals for conferences and networking events.
- Rsvp to events on behalf of professionals.
- Bachelor's degree or equivalent experience.
- 7+ years of experience in an administrative role, preferably in financial services.
- Proficiency in Microsoft Office suite, particularly Outlook, Word, Excel, and PPT.
