Job Summary

This role contributes to the success of Wizlynx Group by providing back-office operational support, governance, and compliance, as well as effective global administration.

Key Responsibilities

  • Ensure general office administration tasks are performed at an optimum level.
  • Manage payroll, staff claims, HR functions, invoicing, liquidity reporting, accounts, and payments with high quality and timely manner.
  • Implement best sourcing practices, procurement, and price negotiation for corporate purchases.
  • Assist with internal secretarial and administrative tasks for Wizlynx Group companies.
  • Support sales processes, including payment tracking, payment collection, documentation, and company events.
  • Manage simple IT account administrative tasks and time sheet closure for staff on a monthly basis.
  • Identify and suggest improvements to corporate operations to increase efficiency and effectiveness.
  • Provide basic employee training.
  • Write meeting minutes.

Requirements

  • Extensive administration experience.
  • Knowledge of staff payroll, including monthly deductions and contributions as required by law.
  • Experience with procurement and purchasing processes, including coordination with contracted suppliers.
  • Experience with administration of business travel for company staff.
  • Proficiency in Microsoft Office, email, and internet.

Language Skills

  • Good spoken and written English, Cantonese, and Mandarin.

Key Performance Indicators / Measures of Success

Financial

  • Proactively assess cash flow and accounts accruals.
  • Manage sales tracking records and distribute invoices to customers.
  • Ensure company secretary, finance, and accounting tasks are well-administered and compliant.

Operational

  • Closure of staff monthly timesheets on time.
  • Ensure IT account administrative tasks for staff are in order.
  • Ensure general office tasks are well-organized and administered.
  • Assist and manage corporate events.

Human Resources

  • Ensure employee handbook remains active and current.
  • Manage recruitment process and ensure compliance.
  • Ensure employee contracts, CVs, and data are up-to-date.
  • Support centralization and standardization of company forms and documents.
  • Create and implement company newsletter.
