Job Summary

This role is responsible for managing the day-to-day operations of the Hill's Hong Kong Office, ensuring efficient office facilities, equipment, supplies, maintenance, and vendor management. The successful candidate will provide administrative support to the General Manager and coordination of Human Resources activities, as well as day-to-day administrative support to the Hill's Asia team.

Key Responsibilities

  • Coordinate travel arrangements, manage corporate credit cards, and process office-related expenses.
  • Liaise with vendors, maintain regional commercial and meeting calendars, and update contact lists.
  • Process invoices, raise purchase orders, and coordinate security, health, and business continuity activities.
  • Support employee benefits administration, recruitment, and onboarding processes.
  • Provide executive assistance to the General Manager, including calendar management and document coordination.

Requirements

  • Minimum Bachelor's Degree
  • Minimum 2-3 years' experience in Office Coordinator and/or Executive Assistant positions
  • Excellent standard of English (oral and written), an additional Asian language is preferable

Working Relationships

  • This position has no direct reports
  • Position reports to HR Manager and dotted line to the General Manager

Travel Requirements

Up to 5% travel expected
