Key Responsibilities

  • Provide administrative assistance to senior executives, ensuring seamless day-to-day operations.
  • Coordinate complex meetings, conference calls, and travel arrangements, demonstrating exceptional organizational skills.
  • Interact with high-level business leaders, showcasing excellent communication and interpersonal skills.
  • Respond to client requests, prioritize tasks, and maintain detailed calendars, ensuring timely and efficient execution.
  • Prepare and distribute divisional correspondence, reports, and other documents, adhering to firm policies and procedures.
  • Maintain a high level of confidentiality, handling sensitive and non-routine information with discretion.
  • Assist in the planning and coordination of social and work events, demonstrating a proactive and flexible approach.
  • Manage local expenses and claims for the leadership team, ensuring accuracy and attention to detail.

Requirements

  • Minimum 2 years of administrative assistance and office management experience.
  • Excellent interpersonal and communication skills, with the ability to build strong relationships with stakeholders.
  • High attention to detail, with the ability to maintain high standards despite pressing deadlines.
  • Ability to solve problems quickly and efficiently, with a proactive approach to issue resolution.
  • Self-starter with excellent anticipation skills, problem-solving, and follow-up abilities.
  • Demonstrated dependability, sense of urgency, and high degree of integrity and confidentiality.
  • Strong organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Comfortable working in a fast-paced, high-pressure environment, with the ability to adapt to unexpected events and prioritize tasks effectively.

Preferred Qualifications

  • Prior experience in an international environment or multinational corporation.
  • Business management skills, including proficiency in document, spreadsheet, and presentation software.
