In this pivotal role, you will provide high-caliber administrative support to the CEO and executive team, driving process improvements and ensuring seamless operations across the agency.
Key Responsibilities- Coordinate the CEO's schedule, travel, and correspondence while maintaining strict confidentiality.
- Foster effective communication channels between executives and internal/external stakeholders.
- Develop and distribute critical reports, presentations, and meeting materials as required.
- Monitor and track project progress, ensuring timely delivery of key milestones.
Core Responsibilities:
Process Improvement- Analyze and optimize internal processes to enhance agency efficiency.
- Support company-wide initiatives, ensuring alignment with business objectives and best practices.
- Design and implement streamlined administrative procedures, incorporating vendor management and office administration.
- Collaborate with HR on key activities, including recruitment, onboarding, and employee data management.
- Contribute to performance evaluations, training, and employee engagement initiatives.
- Ensure compliance with HR policies and labor laws.
- Coordinate payroll inputs and benefits administration with finance teams.
Requirements:
- At least 3-4 years of experience in an HR or administrative role, preferably in a PR, comms, or creative agency.
- Excellent organizational skills, enabling efficient multitasking and prioritization.
- Bilingual proficiency in English and Mandarin Chinese, coupled with excellent written and verbal communication abilities.
- Proficient in Microsoft Office Suite and other productivity tools (Google Workspace, project management software).
- Knowledge of HR processes, employment regulations, and best practices.
- Ability to handle confidential information with discretion and professionalism.
- A proactive, solution-focused mindset with strong attention to detail.
