Key Responsibilities

  • Provide day-to-day operational support for key stakeholders, ensuring seamless communication and collaboration.
  • Manage diaries for departmental heads, ensuring timely scheduling and coordination.
  • Act as key contact with overseas offices, facilitating meetings and travel arrangements.
  • Provide administrative support to departments, including new joiner onboarding and exit procedures.
  • Coordinate meetings and provide administrative support for overseas visitors, ensuring a warm welcome and efficient experience.
  • Assist in marketing or departmental events and other projects, leveraging your skills and expertise.
  • Prepare regular executive, business, and department reports, including Asia Exco, AMHK Exco Board, AMHK, and HGIF Board Reports.
  • Act as Fire Marshal for each stakeholder team, ensuring safety and compliance.
  • Travel arrangements, including budget, flight, and hotel reservations, transport requirements, and approval from CEO and Team Heads.
  • Fusion expense claims for team and department heads, ensuring accurate and timely submissions.
  • Participate in team meetings, demonstrating professionalism and collaboration, and actively contribute to departmental projects.
  • Ensure consistent usage of resources and systems, and maintain awareness and usage of group policies, including data protection and FIMs.
  • Complete all mandatory risk control trainings, ensuring compliance and expertise.

Requirements

  • Fluent Cantonese and English language skills are pre-requisites; Mandarin is beneficial.
  • Good interpersonal skills, both spoken and written, with experience in assisting a diverse team.
  • Evidence of ability to prioritize tasks when faced with competing timeframes, with strong attention to detail and deadlines.
  • Competence in using Microsoft Office, with knowledge of HSBC Group business systems advantageous.
