About the Role

Partners Group is seeking a highly skilled and dedicated individual to join our Client Solutions and Private Wealth teams in Hong Kong as the team's Assistant. As a key member of our team, you will be responsible for providing administrative support to our professionals, ensuring seamless day-to-day operations, and contributing to the success of our business.

Key Responsibilities

Provide administrative support to a team of professionals in the Client Solutions and Private Wealth teams in Hong Kong.
Manage calendars, schedule appointments, confirm meetings, and coordinate with other assistants.
Collaborate with marketing colleagues on events, on-site or off-site.
Coordinate senior management visits in close cooperation with other locations and support respective visitors if/when needed.
Explore and highlight cost-efficient ways to manage assigned responsibilities.
Book conference rooms for internal and external meetings, meet and greet guests, and register visitors in the system.
Complete detailed expense reports, track receipts, and project budgets.
Coordinate travel arrangements, including flights, visas, cars, hotels, and other reservations.
Track and process invoices, ensuring they go through outlined internal approval procedures.
Enter and maintain contacts in Outlook.
Work on various ad-hoc projects.

Requirements

Minimum of 5+ years of administrative support experience working in a professional environment for a medium to large corporate entity, including support for management.
High integrity with the ability to perform duties with the highest level of confidentiality.
Superior organizational and time management skills.
Meticulous attention to detail and accuracy on work deliverables.
Strong verbal and written communication skills in English.
Ability to work efficiently in a high-pressure deadline-driven environment.
Highly driven and proactive with the ability to take initiative.
Able to manage multiple projects simultaneously.
Ability to work independently in a team-oriented environment.
Able to develop strong working relationships with colleagues, teams, and vendors.
Proficient in MS Office Suite and demonstrated ability to quickly pick up new software and systems.
Professional attitude with a friendly, outgoing demeanor to support client-facing departments.
