Job Overview

This position plays a vital role in ensuring the seamless administrative functioning of the Global Commercial Division, providing high-level executive and administrative assistance to key leadership figures including the Chief Commercial Officer, VP of Revenue & Distribution, and VP of Global Sales.

Key Responsibilities

  • Oversees and coordinates the divisional budget, ensuring compliance and approval processes are effectively managed in collaboration with IT, Finance, and Legal partners.
  • Manages travel arrangements, calendar scheduling, correspondence, and expense reporting for the designated commercial executives.
  • Maintains and updates management information, including policies, directories, and essential files.
  • Develops and organizes presentation materials for various meetings and deliverables.
  • Facilitates meetings by recording minutes, reporting outcomes, and managing follow-up communications.
  • Assists in the planning and execution of company events and meetings, including the arrangement of audio-visual equipment.

Additional Responsibilities

  • Acts as a representative of the brand, ensuring that brand integrity and clarity are upheld at all times.
  • Embodies the company's culture, vision, mission, and core values consistently.
  • Completes various ad-hoc projects and tasks as assigned.
  • Provides support across global time zones.

Essential Skills & Qualifications

Required Skills

  • Highly organized, self-driven, with a strong sense of accountability, attention to detail, and accuracy.
  • Proficient in both written and spoken English, capable of effective communication with internal and external stakeholders.
  • Skilled in word processing and Microsoft Office Suite – Word, Excel, PowerPoint, Outlook.
  • Experience in PowerPoint design and presentation is advantageous.
  • Possesses a positive and motivated attitude with a collaborative spirit.

Qualifications

  • Bachelor's degree in Business Administration or a related field, or equivalent combination of education and experience.
  • Experience with social media and marketing platforms, including Adobe Illustrator, Adobe InDesign, and various presentation tools.
  • Able to prioritize tasks, organize effectively, multitask, and take initiative in problem-solving independently.
  • Current experience in the luxury hospitality sector with a solid understanding of fundamental business, service, and commercial principles.

Experience

  • A minimum of 5 years of administrative experience, preferably within a large organization, supporting senior executives.
