Position Overview:

Our General Administration Department is seeking an Administrative Operations Manager to oversee various operational functions.

Key Responsibilities:

Facility Oversight

  • Coordinate technical support for lighting, ventilation, and electrical & mechanical systems.
  • Solicit quotations and manage requisitions for renovation and maintenance projects.
  • Prepare and submit Repair & Maintenance requisitions.
  • Supervise technical teams in executing daily operational tasks.
  • Address complaints and requests related to the workplace environment.
  • Manage emergency situations such as water leaks or power interruptions.
  • Collaborate with building management to review maintenance and upgrade projects.
  • Engage with contractors and service providers to ensure seamless operations.

Health & Safety Management

  • Implement health and safety policies in accordance with occupational safety regulations.
  • Conduct investigations into workplace incidents and prepare reports.
  • Monitor renovation and maintenance work to ensure compliance with corporate standards.
  • Perform regular safety inspections on a weekly and monthly basis.

Travel Coordination

  • Communicate with travel agencies, airlines, and hotels to secure optimal pricing.
  • Facilitate smooth arrangements for business travel.
  • Evaluate the performance of travel service providers in accordance with company policies.

Administrative Support

  • Prepare departmental budgets and compile regular financial reports.
  • Assist in the development and review of administrative policies and procedures.
  • Provide comprehensive administrative support to various departments.

Business Improvement

  • Drive continuous improvement initiatives across the organization.
  • Manage ad hoc projects and additional responsibilities as required.

Ideal Candidate Profile:

  • Bachelor's degree or higher in Facility Management, Property Management, or a related field.
  • A minimum of 5 years of experience in facilities management or a similar role.
  • Demonstrated leadership and team management skills.
  • Exceptional organizational and multitasking abilities, with a focus on prioritization.
  • Strong communication and interpersonal skills.
  • Proficient in both spoken and written English and Chinese.
  • Skilled in MS Office and AutoCAD.
