Job Overview

This is an exciting opportunity to join Phillips as a Post-Sale Administration Specialist, supporting the administration of auctions in Hong Kong. As a key member of the team, you will provide exceptional support for post-sale activities, ensuring seamless delivery of services to clients and stakeholders.

About the Role

We are seeking a highly organized and detail-oriented individual with excellent communication skills to join our team. The ideal candidate will have a strong business sense, exceptional data mining skills, and the ability to think conceptually. With a minimum of two years' experience in a similar role, preferably in the art market, you will be able to synthesize data, create reports, and work effectively in a fast-paced environment.

Responsibilities
  • Support the Senior Business Manager and Administrators in all administrative tasks linked to auction administration in Hong Kong, including coordination of evaluations requests, contract preparation, payment follow-up, collections, and shipping delivery.
  • Provide exceptional service for all administrative tasks, including answering general enquiries, coordinating with finance, shipping, and business management teams, and recording data using internal systems.
  • Liaise with relevant departments (art department, photographers, specialists, and business management) to coordinate photography and cataloguing of properties.
  • Organize shipment of properties, preparing relevant documentation and liaising between clients, shipping department, and specialists.
  • Work closely with the client account department to ensure accurate post-sale payment and settlement processes, and orchestrate seller property returns in a timely and professional manner.
  • Proactively update and communicate with relevant team members and specialist contacts to ensure full visibility on post-sale progress.

Requirements
  • Computer literate and proficient in Microsoft Office Software (Excel, Outlook, Word, and PowerPoint), preferred.
  • A minimum of two years' work experience in a similar role, preferably in the art market.
  • Strong business sense and an excellent understanding of the art market.
  • Exceptional data mining, qualitative, and analytical skills with ability to synthesize data and think conceptually.
  • Advanced Excel skills to organize data and create reports.
  • Experience in process improvement, preferred.
