Responsibilities:

  • Review and Execution: Ensure accurate execution of contracts with suppliers, customers, and logistics providers (e.g., shipowners, pipeline operators).
  • Risk Mitigation: Identify and address risks such as penalties for delays, quality disputes, or pricing fluctuations.
  • Amendments and Disputes: Handle contract amendments, renegotiations, and dispute resolution.
  • Operational Execution:
    • Documentation: Oversee the management of critical shipping and trade documents, including bills of lading, certificates of origin, quality certificates, and customs declarations.
    • Inspection and Quality Control: Ensure compliance with quality standards through coordinated testing and inspections at loading and discharge points.
    • Claims Handling: Resolve issues related to cargo loss, contamination, or delivery discrepancies.
    • Demurrage Management: Manage vessel laytime and demurrage calculations to minimize costs from delays.
  • Stakeholder Communication and Coordination:
    • Internal Coordination: Collaborate with trading, finance, and legal teams to align operations with strategic objectives.
    • Customer Relationship Management: Serve as the primary contact for customers, providing updates, addressing issues, and ensuring satisfaction.
    • Third-Party Collaboration: Maintain relationships with logistics providers, inspection companies, customs agents, and regulatory authorities.
    • Cost Control: Monitor and optimize operational costs, including freight, storage, and demurrage.
    • Invoicing and Payments: Oversee the preparation of invoices, payment tracking, and dispute resolution.
    • Profit and Loss Tracking: Analyze the profitability of operations and identify areas for improvement.
  • Sustainability Compliance:
    • Proofs of Sustainability (PoS): Coordinate with suppliers to obtain accurate PoS for biofuels and related products, ensuring compliance with criteria outlined in the EU Renewable Energy Directive (RED II & III) and other national regulations.
    • Internal Collaboration: Forward PoS to the sustainability team for certification allocation to finished products.
    • Customer Communication: Deliver accurate sustainability information to customers promptly to ensure compliance and maintain transparency in the supply chain.
  • Process Improvement:
    • System Optimization: Identify inefficiencies in operational processes and implement new technologies or methodologies to improve performance.
    • Training and Development: Mentor and train operational staff to enhance skills and operational efficiency.

Requirements:

  • Strong understanding of oil trading, renewable fuels, and supply chain dynamics.
  • Proficiency in contract management and negotiation.
  • Knowledge of shipping, storage, and quality management practices.
  • Familiarity with sustainability compliance frameworks (e.g., RED II & III).
  • Exceptional communication, organizational, and problem-solving skills.
  • Ability to work effectively under pressure in a fast-paced environment.
  • Experience with demurrage management, documentation, and claims resolution is a plus.
