The Office Services Associate plays a vital role in ensuring the smooth operation of office functions and document management. This position involves various responsibilities aimed at maintaining an organized and efficient workplace.
Key Responsibilities:
- Utilize electronic scanning technology to digitize physical documents.
- Receive and collect incoming documents from clients.
- Input essential customer information into tracking systems.
- Verify and sort documents according to established guidelines.
- Record customer and transaction details accurately in the system.
- Deliver original documents to clients and address any inquiries they may have.
- Coordinate with external vendors for the upkeep and repair of office equipment and furnishings.
- Ensure the office environment is clean and well-maintained, collaborating with building management as needed.
- Organize and prepare for internal office events.
- Assist in scheduling meetings, including video conferencing setups when required.
- Support various ad hoc tasks as necessary.
- Print and bind documents according to client specifications and company standards.
- Provide backup support for receptionist duties when necessary.
Qualifications:
- Completion of Form 5 / Hong Kong Diploma of Secondary Education Examination or higher.
- A minimum of 1 year of relevant experience, preferably in a large organization.
- Proficient in reading, writing, and communicating in English.
- Basic proficiency in Microsoft Office Suite (e.g., Word, Excel, PDF, Outlook).
- Strong communication skills, attention to detail, and dependability.
- More experienced candidates may be considered for a Senior Office Services Associate role.
