Job Summary

Natixis is seeking a highly skilled and experienced Senior Facilities Officer to join our team. As a key member of our facilities management team, you will be responsible for ensuring the smooth operation of our office facilities.

Main Responsibilities:

  • Conduct regular inspections to ensure that all facilities are in good working condition and report any issues to the facilities management team.
  • Administer a range of office services, including reception, mailroom, and logistical support services, to ensure seamless day-to-day operations.
  • Coordinate facilities management services, including air-conditioning and fire services systems, to ensure optimal performance and compliance with regulatory requirements.
  • Oversee office repair and maintenance services to ensure timely completion, within budget, and meeting user requirements.
  • Coordinate and supervise maintenance activities performed by technicians and contractors to ensure high-quality results.
  • Develop and implement routine housekeeping and general facilities support activities to maintain a clean and safe working environment.
  • Handle client inquiries, requests, and complaints in a professional and courteous manner.
  • Coach and supervise the performance of staff to ensure high levels of service delivery.
  • Participate in ad hoc duties as required to support the facilities management team.
  • Assist and back up the Workplace team as necessary to ensure seamless day-to-day operations.

    Required Skills:

    • Bachelor's degree in a relevant field, such as facilities management, business administration, or a related field.
    • Over five years of working experience in a facilities management and administrative role in the financial industry.
    • Proven track record of responsible, detail-minded, and well-organized work, with the ability to work independently and respond quickly to changing demands and priorities.
    • Excellent analytical, problem-solving, and customer service skills.
    • Cheerful personality and strong relationship and interpersonal skills to ensure good rapport with clients, business lines, and support functions.
    • Resourceful, flexible, and able to work in a fast-moving environment independently as well as in a team environment.
    • Proficient in Microsoft Office Suite software applications, including Outlook, Word, Excel, and PowerPoint.
    • Fluent in English and Cantonese, with Mandarin language skills as a plus.
    • Immediate availability is highly preferred.
