Job Title: Office Manager

We are seeking an experienced Office Manager to join our team in Hong Kong. This role will be responsible for overseeing daily office operations, managing facilities, and ensuring a smooth work environment for all employees.

Key Responsibilities:
  • Office Operations Management
    • Oversee daily office operations to ensure a productive, efficient, and safe work environment.
    • Manage office facilities, including maintenance, cleanliness, and safety protocols.
    • Monitor and manage office supplies inventory to maintain availability and prevent shortages.
  • Employee and Guest Experience
    • Provide exceptional support to employees and guests by addressing their day-to-day needs and ensuring a high-quality workplace experience.
    • Collaborate with HR to coordinate employee onboarding, offboarding, and other internal processes to foster a positive and cohesive work environment.
  • Event Planning and Coordination
    • Plan and execute in-house and off-site events, including sourcing and coordinating with vendors, managing budgets, and ensuring successful event delivery.
    • Support workplace engagement initiatives by coordinating social events, team-building activities, and wellness programs that align with company culture and values.
  • Vendor and Service Provider Management
    • Build and maintain strong relationships with vendors and service providers to ensure quality services and timely invoicing and payments.
    • Negotiate contracts, manage procurement processes, and ensure compliance with company policies and standards.
  • Catering and Hospitality Management
    • Oversee food orders and catering for our Food & Beverage program, ensuring quality, variety, and employee satisfaction.
    • Implement feedback mechanisms to continuously improve food services and address any issues promptly.
    Required Skills and Qualifications:
    • A minimum of 3 years of experience in office administration, facilities management, or a related field.
    • Proven ability to manage multiple tasks and priorities effectively, with strong attention to detail and organizational skills.
    • Excellent interpersonal and communication skills, with the ability to build positive relationships with employees, vendors, and stakeholders.
    • Strong problem-solving skills and a proactive approach to identifying and addressing challenges.
    • Ability to work independently and as part of a team, demonstrating a high level of initiative and assertiveness when needed.
    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with office management software and tools.
    • Proficiency in written and verbal English and Cantonese. Mandarin is a bonus.
    Salary Range:

The estimated salary range for this position is HKD $50,000 - $70,000 per annum, depending on experience.
