Job Title: Executive AssistantJob Summary:

We are seeking a highly skilled and experienced Executive Assistant to provide exceptional support to the Head of WPB South Asia Transformation. The successful candidate will be responsible for delivering efficient and high-quality executive support, administrative and personal assistance to the Head of WPB South Asia Transformation.

Key Responsibilities:
  • Deliver efficient and high-quality executive support, administrative and personal assistance to the Head of WPB South Asia Transformation.
  • Own all administrative and clerical activities, including calendar management, business trips, event logistics, meeting management, expense management, research, and coordinating with other Assistants across the Group.
  • Scheduling of appointments, coordination of meetings, and actively managing the calendars of assigned executives.
  • Facilitating travel arrangements for assigned team members.
  • Assist in the preparation of documents and presentation materials, ensuring attention to detail.
  • Liaise with key senior stakeholders and colleagues professionally, with excellent verbal and written communication skills.
  • Demonstrate excellent organizational skills, with the ability to anticipate needs, think critically, and proactively prioritize tasks and offer solutions to problems.
  • Focus on delivering stakeholders' requirements in a timely manner and continuously seek ways to improve service, productivity, and quality of work.
Requirements:
  • Proven background as an Executive Assistant.
  • Minimum of 2 years of relevant experience in sizeable organizations, with experience in financial services being an advantage.
  • Pro-active and have a can-do attitude, with strong organizational ability.
  • Team player who demonstrates a high level of emotional intelligence and strong interpersonal skills.
  • Strong attention to details, with the ability to work independently and under pressure.
  • Skilled in diary management, logistics, and travel scheduling.
  • Strong change orientation and initiative on continual improvements.
  • Proficiency in both English and Chinese, written and spoken.
  • Proficiency in Microsoft Office applications.
  • Previous experience of HSBC's internal systems/applications would be advantageous.
