Job Title: Post-Sale Administrator for Modern and Contemporary Art

Phillips is seeking a highly organized and detail-oriented Post-Sale Administrator to support the administration of Modern and Contemporary Art Online and Live Auctions. The successful candidate will provide administrative, financial, and logistical support in managing the pre-sale and post-sale administration for Editions, Photos & Design Auctions.

Key Responsibilities:
  • Work closely with the Senior Business Manager and Administrators, as well as the Head of the Department and Specialists, to coordinate all administrative tasks linked to the administration of auctions in Hong Kong.
  • Provide exceptional service for all administrative tasks, including answering general enquiries, working in coordination with all other support functions, and recording data using internal systems as required.
  • Assist in coordinating photography and cataloguing of all properties, liaising with relevant departments, art department, photographers, specialists, and business management.
  • Organize shipment of properties as required, liaising with the shipping department and other departments as necessary, including preparing relevant documentation and communicating with clients, shipping department, and specialists.
  • Liaise with the client account department to ensure accurate post-sale payment and settlement processes, and orchestrate seller property returns in a timely and professional manner.
  • Proactively update and communicate with relevant team members and specialist contacts to ensure full visibility on post-sale progress.
  • Provide support to the MCA department sale administrators as needed.
Requirements:
  • Computer literate and proficient in Microsoft Office Software (Excel, Outlook, Word, and PowerPoint), preferred.
  • A minimum of two years' work experience in a similar role, preferred.
  • Strong business sense and an excellent understanding of the art market.
  • Exceptional data mining, qualitative, and analytical skills with the ability to synthesize data and think conceptually.
  • Advanced Excel skills to organize data and create reports.
  • Experience in process improvement, preferred.
Education and Training:
  • Art History background desirable.
  • Bachelor's degree, preferred.
  • Good command of spoken and written English and Chinese (Cantonese and Mandarin).

  • Strong attention to detail.
  • Ability to communicate in a professional manner with a wide variety of people, including written and spoken communication.

  • Ability to work individually on own initiative and as part of a team.
  • Ability to learn Phillips' internal processes and systems.
  • Good command of spoken and written English and Chinese (Cantonese and Mandarin).
Working Conditions:
  • Work is undertaken primarily within an office environment at the Hong Kong office location.
  • Flexibility with working hours, including some evenings and weekends.
