Strategic Administrative Coordinator

We are seeking a highly skilled and experienced Administrative Assistant to join our team as the primary assistant to the Head of Financial Management & Planning.
Key Responsibilities:- Secretarial / Administrative Support (50%):
- Manage the diary of the Head of Financial Management & Planning, scheduling appointments and meetings, and prioritizing tasks to ensure a smooth day-to-day operation.
- Coordinate travel arrangements for internal and external conferences and business trips.
- Prepare presentations, management documentation, and departmental reports.
- Responsibly manage office supplies, billing, and expense reimbursement for the Head of Financial Management & Planning.
- Handle confidential and sensitive information and correspondence with discretion.
- Other Departmental / Business Duties (50%):
- Act as the key coordinator for departments under HK Finance, specifically the Financial Management & Planning team, providing administrative support and communication.
- Manage personnel activities such as new joiners' and leavers' administration, leave administration, and overtime records.
- Assist in cross-departmental projects by coordinating meetings, assembling and summarizing information, and tracking deadlines.
- Perform ad hoc duties and support department heads as required.
- A degree holder with formal secretarial training.
- No less than 8 years of secretarial experience in a sizeable organization.
- Excellent command of written and spoken English.
- Proficiency in MS Word, Excel, and PowerPoint.
- Strong interpersonal and communication skills.
- A self-motivated and independent individual with a strong sense of responsibility.
The successful candidate will be expected to obtain relevant licenses if their job involves regulated activities. We offer a competitive salary of $HKD 45,000 - HKD 60,000 per month, depending on experience, plus benefits.
