Executive Assistant

Entry Requirements:
Candidates should (1) have a bachelor's degree from a university in Hong Kong, or equivalent; (2) have met the language proficiency requirement of Level 3 or above in Chinese Language and English Language in the Hong Kong Diploma of Secondary Education Examination or the Hong Kong Certificate of Education Examination (HKCEE), or equivalent (see Note); (3) have good command of written and spoken Chinese and English; (4) proficiency in the application of common business software (including MS Word, Excel and PowerPoint) as well as Chinese and English word processing; (5) have good communication and interpersonal skills; (6) have post-qualification working experience in works project/planning or land administration; and (7) preferably with post-qualification working experience in Government or public sector.
Note : For non-civil service contract appointment purpose, ‘Grade C' in Chinese Language and English Language (Syllabus B) in the previous HKCEE are accepted administratively as comparable to 'Level 3’ in Chinese Language and English Language in the 2007 HKCEE and henceforth. Duties:
(1) To provide administrative support for planning and implementation of sports and recreation and cultural works projects; (2) to assist in collating accommodation requirement briefs, schedules of accommodation and user requirements; liaising with the relevant policy bureaux and works departments on project matters such as design, implementation programme and cost estimates; coordinating comments within the Department and other government departments on land matters and other issues related to works projects, etc.; (3) to assist in initial screening and distribution of consultancy studies, development proposals, reports associated with major infrastructure facilities, outline zoning plans, applications to Town Planning Board, land matters, etc., from other departments/consultants and coordinate inputs and comments from various operational branches within the Department for reply; (4) to assist in drafting replies for enquiries, complaints and suggestions on works projects to Legislative and District Councillors, various local organisations/advisory bodies and members of the public; (5) to assist in monitoring the progress of projects under construction and follow-up on pre-handover and formal handover matters, including coordinating project/site meetings, updating works progress reports, collating defect lists, etc.; and (6) to assist in arranging and providing logistic support for project meetings, site meetings (including construction sites) and to handle handover matters related to project completion at sites. Terms of Appointment:
The successful candidates will normally be appointed on non-civil service contract terms for a period of 12 months. Contract lasting for 1 year or more may attract gratuity. A gratuity may be granted to the appointee upon satisfactory completion of the contract with a consistently high standard of performance and conduct. Such gratuity payable will be the sum which, when added to the Department’s contribution to a Mandatory Provident Fund (MPF) scheme in respect of the appointee as required by the MPF Schemes Ordinance (Cap 485), will be equal to 15% of the total basic salary drawn during the contract period. Rest days, statutory holidays (or substituted holidays), annual leave, maternity leave / paternity leave, sickness allowance, where appropriate, will be granted in line with the provisions of the Employment Ordinance. The entry pay, terms of appointment and conditions of service to be offered are subject to the provisions prevailing at the time the offer of appointment is made.
