Job Description

We are a fast-paced and dynamic payment gateway technology hub, serving as a one-stop-shop for online businesses. As an Office Assistant, you will play a crucial role in ensuring the smooth day-to-day operations of our office in Hong Kong.

Your Key Responsibilities

  • Expense Recording and Maintenance:
    • Invoices tracking: hard & soft copies, including reimbursement receipts.
    • P&L preparation & submission.
    • SalesForce Reporting.
  • Office Operations:
    • Mail/post operation: incoming & outgoing mails, registering, tracking, and record keeping.
    • Arrangement of internal folders, files, and maintaining of the records.
    • Maintain the office condition and contact related parties if repairs are required.
    • Order and track company inventory.
  • IT related tasks:
    • Create an IT inventory list for the office.
    • Connect ISP to the office - ISP unrelated to the hosting office.
    • Check the old UDM status.
  • Team related tasks:
    • New employee workstation set-up.
    • Manage food placement and tracking for breakfast and lunch via Deliveroo.
    • Keep Days off/AL/sick leaves/work-on holidays calendars updated.
    • Work with the TLV team on ad hoc tasks, i.e. checking flights, hotel reservations, etc.
    • Employees' birthdays and other gifts purchased.

Requirements

  • Proficient in MS Excel, Word, Gmail, and Slack.
  • Proficient in record-keeping maintenance.
  • Strong organizational and communication skills.
  • Ability to work effectively under limited supervision.
  • Adaptability to cross-cultural working environments.
  • Commitment to constant improvement and learning.
