Event Operations Assistant

As a key member of our team, you will play a crucial role in supporting the execution of in-person and virtual Roadshow functions for our clients.
The ideal candidate will be a highly organized and detail-oriented individual with excellent communication and negotiation skills. They will be able to effectively manage stakeholder relationships in a fast-paced environment and demonstrate a strong ability to multitask and prioritize tasks effectively.
Key Responsibilities:
- Support the team with venue sourcing and restaurant bookings
- Provide full administrative support to the Tokyo Roadshow desk
- Manage databases and arrange credit card authorizations for client accommodations
- Attend group events in London and manage delegate registration
- Maintain and update roadshow team directories for hotel sales, reception, concierge, and account service contacts
- Book on-campus conference space and set up dial-ins as needed
- Support the team with ad hoc requests and projects
Requirements:
- Fluency in Japanese
- Flexibility to work outside normal business hours as required
- Restaurant or hospitality background preferred
- Investment banking or Roadshow experience not required but an asset
- A self-starter who is motivated, proactive, and solutions-oriented
- Attention to detail and accuracy are vital
- Ability to multitask and prioritize tasks effectively
- Excellent teamwork and collaboration skills
- Proficiency in Microsoft Office, particularly Word and Excel
- Strong verbal and written communication skills
- Confidence, drive, and motivation to succeed
