Job Title: Assistant Manager, Facilities Management

We are seeking a highly skilled and experienced Assistant Manager, Facilities Management to join our team at the West Kowloon Cultural District Authority. As a key member of our facilities management team, you will play a critical role in ensuring the smooth operation of our venues and facilities.

Key Responsibilities:
  • Assist the Manager, Facilities Management in overseeing and managing the operation and provision of soft services for our Museum, Conservation Storage building, and grade A commercial tower.
  • Formulate, review, and refine management processes and procedures for routine operations, focusing on cost saving, management effectiveness, health best practices, and environmental friendliness.
  • Assist in budget planning and monitoring, ensuring that our facilities management operations are aligned with our financial goals.
  • Prepare documents for procurement and payment in compliance with related guidelines of the Authority.
  • Assist in planning and taking over new venues, including project schedule management, staff and resources arrangement planning, standard operation procedure, readiness plan, and monitoring the implementation program.
  • Monitor outsourced facilities management vendors to ensure quality services are delivered and in accordance with contract requirements.
  • Work with our Technical Services team for daily operation related to venue operation.
  • Collaborate with all Museum teams, including Exhibition, Curatorial, Conservation, Visitor Services, Venue Operation, Learning, Design & Technical teams, and their vendors related to Museum operation.
  • Liaise between the District Facility Services Department and relevant internal departments of the Authority to ensure effective communication and coordination between the Authority and outsourced FM vendors.
  • Manage emergency incidents, resolve them in a timely and effective manner, and recommend and drive continuous improvements.
Requirements:
  • Possess a recognized university degree in facilities management, building studies, property management, building services, engineering, business management, or equivalent.
  • Have at least 5 years of experience in property and/or facilities management with on-site experience in vendor management, venue operation, and cleaning services in sizable non-residential projects.
  • Be proactive, independent, responsible, and a good team player.
  • Be proficient in written and spoken English and Chinese.
