Job Title: Associate - Office Admin (Corporate Bank)

About the Role:

We are seeking an experienced Associate to join our Office Admin team in the Corporate Bank. As a key member of our team, you will provide comprehensive administrative support to ensure the smooth and efficient operation of our corporate banking activities.

Key Responsibilities:

  • Manage the procurement and inventory of office supplies, equipment, and furniture to maintain a well-stocked and efficient workspace.
  • Act as the primary point of contact for office-related inquiries and provide administrative assistance to staff, ensuring timely and effective communication.
  • Coordinate and schedule meeting rooms, manage bookings, and ensure audio-visual equipment is properly set up to facilitate seamless meetings and presentations.
  • Oversee the IP phone and voice recording systems, regularly checking voice records for quality to maintain high standards of communication.
  • Assist with event planning for conferences, seminars, and client entertainment, ensuring successful and memorable events.
  • Supervise centralized mailing operations, coordinating with external vendors for document delivery to maintain efficient and secure communication.
  • Work with building management and service providers to maintain a safe and well-kept office environment, ensuring a healthy and productive workspace.
  • Identify opportunities for process improvements to boost team efficiency and productivity, implementing changes to drive success.
  • Aid in office relocation projects, managing logistics and facilitating transitions to ensure a smooth transition.

Requirements:

  • Diploma or degree holder with a minimum of 3 years of solid administrative experience in banking or financial services.
  • Strong organizational and time management abilities, capable of prioritizing tasks and meeting deadlines to ensure timely completion.
  • Excellent communication and interpersonal skills, with the ability to engage effectively with colleagues at all levels to build strong relationships.
  • Familiarity with office equipment, supplies, and vendor management to maintain a well-stocked and efficient workspace.
  • Willingness to work overtime and on shift duty to meet the demands of the role.
  • Adaptable to change and able to thrive in a fast-paced, dynamic environment to drive success.
  • Proficient in Excel, MS Word, and communication systems to maintain efficient and effective communication.
  • Fluent in English, Cantonese, and Mandarin to communicate effectively with colleagues and clients.
