Key Responsibilities

  • Providing essential support to a team of legal professionals while achieving agreed-upon billable hour targets.
  • Assisting with financial oversight and matter management, including budgets, work in progress, and aged debt reporting.
  • Conducting various legal searches as requested by attorneys.
  • Drafting, revising, and translating legal documents upon request.
  • Serving as the primary communication link between attorneys and clients.
  • Ensuring accurate setup of new client matters in the accounting and database systems.
  • Maintaining and updating client records and contact information as necessary.
  • Keeping files organized and current, including the filing of documents, emails, and correspondence, and ensuring proper closure and archiving of files once matters are resolved.
  • Managing client-specific business development arrangements for attorneys when required.
  • Delegating administrative tasks to align with the team's workflow model.
  • Offering comprehensive assistance to attorneys and clients on various legal matters.
  • Leading initiatives in innovation, technology, and tools by supporting and trialing new processes.
  • Acting as the primary contact for team-specific legal and business service inquiries.
  • Screening incoming calls, accurately relaying messages, and coordinating conference and outgoing calls for the team.
  • Identifying and gathering information necessary to support legal decision-making.
  • Performing additional duties as reasonably required by the firm.

Skills, Knowledge, and Expertise

  • Completion of relevant common law legal studies (LLB/LLM or equivalent).
  • A minimum of 2 years of experience as a paralegal.
  • Prior legal experience in banking and finance transactions.
  • Familiarity with time entry principles to effectively manage personal billable hours.
  • Strong attention to detail and accuracy.
  • Experience in administrative and document management.
  • Excellent organizational, administrative, and communication skills to handle high-level and confidential work.
  • Ability to efficiently manage time and prioritize tasks.
  • Adaptability to the ongoing implementation of innovative tools and processes.
  • Demonstrated support for agile and flexible working practices.
  • Proficient communication skills in English and Mandarin, both written and spoken.
