About the Role:

The Strategic Operations Coordinator plays a crucial role in supporting our organisational goals by providing expert support to the Country/Territory Leadership Team and Director. This position is pivotal in maintaining effective governance and efficient management of key relationships.

Main Responsibilities:

The main duties of this role include:

  • Scheduling and Coordination: Arrange meetings for the Country/Territory Leadership Team (CLT) and Incident Management Team (IMT), ensuring timely participation and maximum impact. Prepare agendas, collate proposed items, and share them with participants at least three days in advance.
  • Governance and Compliance: Schedule mandatory agenda items, such as risk reviews, as advised by regional guidelines. Follow up on previous meeting actions, record progress updates, and share them with the Director and meeting chair (if not the Director).
  • Document Management: Maintain a CLT O365 Teams site containing key documents related to country/territory operation governance. Monitor updates from team members and provide monthly reports to the Director on amendments made.
  • Administrative Support: Print and secure documents requiring Director signature, coordinate e-signing, and provide logistical support for large-scale online and in-country/territory meetings.
  • Staff Engagement: Coordinate staff meetings and activities, support people-related tasks, and facilitate communication for pay awards and other important announcements.
  • Calendar Management: Coordinate the Director's calendar, travel, and accompany them to meetings when necessary. Provide cultural insight and language support as required.

Additional Responsibilities:

This role involves supporting finance and procurement processes, including purchasing orders, budget management, and monitoring financial reports. It also requires acting as the in-country/territory contact for corporate travel providers and escalating issues as necessary.
