Exams Operations Officer

Job Summary
The British Council is seeking a highly skilled and experienced Exams Operations Officer to join our team in Hong Kong. As an Exams Operations Officer, you will play a critical role in ensuring the effective and efficient delivery of exams within a small or remote exams office location.
Main Responsibilities
- Plan and deliver exams operations in line with British Council processes and procedures.
- Manage test delivery, venue supervisor engagement, and relationships with stakeholders.
- Coordinate and manage risk or issue resolution, including customer communication.
- Be the point of contact for venues and venue supervisors on test days.
- Work on test days, which may involve weekend work as part of the contracted hours.
Key Accountabilities
- Product Service Delivery
- Undertake planning and delivery functions in preparation for test days.
- Receive instructions and requests from cluster operations and plan accordingly.
- Monitor performance and identify issues.
- Deploy engagement plans for venue staff and support decisions on venue staff selection.
- Support confidential materials handling and the Confidential Materials Room (CMR) to ensure British Council standards are met.
- Sort and pack exam materials for designated test venues.
- Reconcile exam materials and papers received and report discrepancies.
- Handle suitcases and store materials securely.
- Ensure proper procedures and documentation are followed when handing over to couriers or test day staff.
- Provide support for audits and performance reviews.
- Customer Service
- Receive and respond to customer enquiries and be a point of reference for queries.
- Identify complex issues and refer them to others for resolution.
- Recognize and understand the impact of incidents and proactively alert the team leader to issues of concern.
- Relationship & Stakeholder Management
- Support continuous improvement in service delivery and systems.
- Work with the Operations Manager to deliver satisfactory and timely resolution of customer complaints.
- Develop good working relationships with venue staff and colleagues to facilitate effective service delivery.
- Act as a point of contact and manage escalated issues from venue supervisors and venues.
- Risk & Compliance
- Undertake contingency and risk management on the ground.
- Lead in providing support related to compliance or investigations on test days.
- Follow corporate risk management processes and procedures to protect the interests of the British Council and its customers.
- Ensure adherence to CMR standards and management.
- Analysis & Reporting
- Use standard procedures and templates to record, analyze, and report on operational activities.
- Lead wash-up meetings to review test day performance delivery and continual improvement.
- Finance & Resource Management
- Monitor and take responsibility for small-scale resources, cash, and stock.
- Ensure equipment and materials are available and ready to use when needed.
- Managing Self & Others
- Plan and prioritize own work activities to ensure effective delivery of responsibilities.
- Task and coordinate others to complete activities within established procedures.
Requirements
- University degree in any subject or relevant qualification.
- The British Council systems and global processes operate in English. IELTS 6.5 or equivalent level is desirable.
