Add expected salary to your profile for insights We are seeking a dependable and versatile professional to provide dedicated administrative support to the Vice Chairman of a prominent business group. This role is integral to the Vice Chairman’s public-facing initiatives, particularly in areas of social involvement, community organizations, new media, think tank, and education. The ideal candidate will demonstrate sound judgment, strong interpersonal acumen, and the ability to operate effectively across dynamic and confidential environments. Candidates with less experience and qualifications will be considered for the position of Executive Assistant. Work Location: Kowloon City Responsibilities Provide comprehensive secretarial support to the Vice Chairman, including managing the calendar, appointments, travel arrangements, and daily correspondence with precision and discretion. Prepare and edit documents including reports, presentations, speeches, and briefing materials. Organize and maintain files, records, and confidential documents. Serve as a liaison between the Vice Chairman and internal teams, external stakeholders, and family members, ensuring professional handling of communications. Assist in project coordination, including research, data compilation, and deadline tracking, to support reporting and decision-making. Ensure smooth office operations including supply management, vendor coordination, and administrative support. Manage travel logistics including itinerary planning, visa applications, and accommodation bookings. Assist in planning and execution of events, conferences, and board-level meetings. Support basic financial administration, including the preparation of expense reports, coordination of reimbursements, budget tracking, invoice handling, and petty cash management. Liaise with the Finance Function to facilitate approvals and address queries. Requirements Bachelor’s degree in Business Administration, Secretarial Studies, or a related discipline. Minimum 5 years of experience supporting C-level executives in a secretarial or personal assistant capacity. Exceptional organizational and time management skills, with the ability to manage multiple priorities. Excellent written and verbal communication skills in English and Chinese (including Cantonese and Putonghua). High level of professionalism, discretion, and integrity in handling sensitive matters. Proactive, resourceful, and solution-oriented mindset. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as SharePoint and Zoom.
