Executive Assistant – Asset Management Firm

This powerhouse is seeking an exceptional and detail oriented individual to join their team as an Executive Assistant, providing pivotal support to the Managing Director. Key responsibilities: Proactively manage a complex and dynamic calendar, scheduling meetings, calls, and travel across multiple time zones. Serve as the first point of contact for the Managing Director, screening communications with tact and professionalism. Draft, proofread, and prepare correspondence, presentations, and reports. Organize and coordinate internal and external meetings, including board meetings, client dinners, and off sites. Prepare agendas, take minutes, and ensure flawless execution. Arrange international travel itineraries, including flights, accommodation, and ground transportation, often with last-minute changes. Provide ad-hoc support on events and key business projects, conducting research, preparing briefing documents, and tracking deliverables. 5+ years of experience as an Executive Assistant supporting senior management, ideally within financial services, asset management, investment banking, or a related professional services firm. You are a master of organization, with an unparalleled ability to prioritize and manage multiple tasks simultaneously in a high-pressure environment. Technologically proficient, with advanced skills in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Proactive, anticipating needs before they arise, and you take ownership of your responsibilities.
