To provide centralized, efficient, and proactive administrative support across key functional areas including Human Resources, Accounts, and Operations. The purpose is to ensure the smooth day-to-day running of office administrative functions, facilitate core business processes, and serve as a reliable support pillar for the organization. Responsibilities Human Resources Support Assist in the end-to-end recruitment process, including drafting and posting job advertisements, screening initial applications, and coordinating interview schedules. Facilitate employee visa application and renewal processes, ensuring timely submission and compliance with government requirements. Maintain and update accurate employee attendance and leave records. Prepare and submit necessary documentation to the main contractor (maincon) for site personnel. Administer MPF (Mandatory Provident Fund) registrations, contributions, and related inquiries. Accounts Support Process accounts payable (AP) by verifying invoices, obtaining approvals, and preparing for payment. Process accounts receivable (AR) by generating and issuing client invoices and following up on payments. Manage the petty cash fund, including verification of claims, accurate record‑keeping, and timely reconciliation. Operations Support Coordinate and book employees for mandatory safety training courses and other relevant certifications. Maintain training records and track expiration dates to ensure compliance. Provide general administrative support to the operations team as needed (e.g., ordering supplies, coordinating deliveries). Accountability The accuracy and timeliness of attendance, MPF, and visa processing records. The integrity and security of petty cash transactions and records. The correct and confidential handling of employee and company documentation. Ensuring all administrative tasks are completed within agreed‑upon deadlines. Maintaining a high standard of data accuracy and compliance in all supported functions. Knowledge / Experience / Skills Required Minimum of 2‑3 years of experience in a general administration or executive assistant role, preferably within an industry that requires HR, accounts, and operations support (e.g., construction, engineering, professional services). Hands‑on experience with HR administrative tasks, particularly attendance tracking and familiarity with MPF or similar provident fund systems. Practical experience in processing Accounts Payable and Accounts Receivable. Proficient in Microsoft Office Suite (especially Excel, Word, and Outlook). Fluency in both written and spoken English and Chinese (Cantonese/Mandarin). Diploma or Bachelor's degree in Business Administration, Human Resources, or a related field. Direct experience with visa processing for foreign employees in Hong Kong. Basic understanding of safety course requirements for the construction sector. #J-18808-Ljbffr
