Position Overview We are looking for a strategic and proactive Assistant Manager, Administration to oversee all aspects of our administrative and facility operations. The ideal candidate will be a seasoned professional with 5‑8+ years of experience, particularly in managing office setups, renovations, and a wide range of administrative functions. Key Responsibilities Office & Facility Management: Lead end-to-end office setup, expansion, and renovation projects, from planning and vendor selection to execution and move‑in. Manage relationships with landlords, contractors, architects, and vendors to ensure high‑quality and timely delivery of services. Oversee daily office operations, including maintenance, cleaning, security, catering, and supplies to ensure a smooth‑running workplace. Implement and manage office services and policies to improve efficiency and reduce costs. Company Vehicle & Logistics Management: Manage the company's fleet of vehicles, including procurement, registration, insurance, maintenance, scheduling, and driver coordination. Develop and enforce policies for vehicle usage, ensuring safety and cost‑effectiveness. Oversee corporate travel arrangements and logistics for employees as needed. Administrative Operations: Develop, implement, and improve administrative systems, policies, and procedures. Manage the administrative budget, track expenses, and prepare regular reports. Oversee front desk operations and reception staff, ensuring a professional and welcoming atmosphere. Coordinate internal events, meetings, and conferences. Vendor Management: Source, negotiate with, and manage contracts for all administrative vendors (e.g., IT support, office supplies, courier services, facility management). Conduct regular reviews of vendor performance and costs to ensure value for money. Qualifications & Experience Bachelor's degree in Business Administration, Management, or a related field. 3‑5+ years of proven experience as an Administration Manager, Office Manager, or similar role, preferably within a fast‑paced tech or Fintech environment. Must have direct, hands‑on experience in managing office setup, expansion, or renovation projects. Demonstrable experience in company vehicle fleet management. Strong knowledge of vendor management, contract negotiation, and budget control. Proficient in MS Office and familiar with facility management software. Both Chinese and English are needed.
