Main Purpose Based in Hong Kong, the Education Admin Assistant's (1 year contract) primary role is to provide logistical and administrative support to the Travel Retail Asia Education Team. Key Responsibilities Logistics Manage end-to-end logistics around shipping activities, including: Receiving, packing, shipping and distribution of training gifts, tools, and uniforms Liaising with 3rd party and internal logistics vendors and couriers on all shipping arrangements Managing queries from Customs, receiving parties and retailers Follow-up communication with logistics regarding enroute shipments and billing Work with Commercial Executives on shipment arrivals and allocation HK Warehouse Education Inventory Management: Centralized management of stock levels of training gifts, tools, and uniforms. Keep accurate records and ensure minimal inventory holding Raise sales orders to charge stock out from the warehouse and return stock when needed. Centralized distribution of training gifts, tools and uniforms. Conduct physical stock count monthly for Shiseido Travel Retail (STR) Logistics reporting Education Admin Collates information / correspondence and generates reports as requested Assists in supplier sourcing and procurement of training tools, products, and services when needed Raises purchase orders, tracks delivery and closes orders in system Handles end-to-end vendor code creation as per STR Finance process including communication between parties / stakeholders Assists in negotiating, booking, and contracting hotel meeting packages when needed Assists with training setup as and when needed e-Learning Administration Supports ALL TRA Brand Educ Leads in: Uploading Seasonal & Brand Discovery training modules in both TRA & TRC SHARE Apps Assists with proofreading, User Acceptance Testing and communicates with STR IT as and when needed Other ad-hoc duties as requested Requirements Good organizational skills, with an eye for detail Must work independently and proactively, able to flex across priorities and multitask to meet deadlines Basic skills with Microsoft Office Suite products such as Outlook, Teams, Word, Excel, and PowerPoint are required Ability to work in multiple software platforms (e.g., SAP, DESE) and learn and retain technical software applications quickly would be an advantage #J-18808-Ljbffr
