Business Office Manager / Office Administrator We are seeking a highly organized and proactive Office Manager or Office Administrator to join our team. This pivotal role is the backbone of our daily operations, ensuring the smooth running of our office while providing essential support across finance, HR, and project coordination. The ideal candidate will be a master of multitasking, possess a keen eye for detail, and have a can‑do attitude. The specific title and seniority of the role will be tailored to the candidate’s experience. This role reports to Head of Strategy and Operations and Managing Director. Key Responsibilities Manage day-to-day accounting and bookkeeping tasks, including data entry using XERO Accounting platform to generate regular management reports, profit‑and‑loss reports on a monthly, quarterly and yearly basis for Management’s review. Prepare and issue client invoices and settle supplier invoices accurately and on time. Administer HR and company functions, including payroll processing and employee record management; assist in organizing company events, including managing bookings and logistics. Oversee all aspects of general office administration and secretarial duties to ensure a productive work environment. Maintain an organized system for all company records, both physical and digital. Provide administrative and operational support to all departments and assist with project work whenever required. This includes, but is not limited to: Issuing quotations and invoices to suppliers/vendors and clients. Ensuring all payments are processed and paid according to agreed payment terms for the Project Team. Continuously monitoring and recording payments associated with each project. Facilitating communication on payment status among all relevant stakeholders to ensure project alignment. Assisting the Project Team with submitting and obtaining work permits and worker permits. Notifying the Project Team of new tenders and key dates, and assisting with the tender submission process. Qualifications and Experience Proven experience in an office management, administration, or a similar role. Experience within the design or construction industry is a plus. Proficiency and hands‑on experience with accounting/bookkeeping software such as XERO accounting software is mandatory. Experience using HR management platforms to support HR‑related duties. Specific experience with Workstem is a significant advantage. Proficient in Microsoft 365 suite. Excellent organizational and time‑management skills, with the ability to prioritize tasks in a fast‑paced environment. Strong attention to detail and a high level of accuracy in all work.
