Marine Service Asia is a premier, one-stop Vessel Service Provider and Parts Supplier based in Hong Kong. We leverage an extensive and trusted partner network across Asia, with a strategic focus on Greater China, Thailand, Singapore, and the Philippines. We are seeking a highly organized Procurement Officer to join our team. In this pivotal role, you will bridge the gap between our internal teams and external suppliers, managing the full cycle of order processing—including quotation generation, order administration, technical verification, strategic sourcing, cost negotiation, supply planning, supplier relations, logistics coordination, and dispute resolution—to ensure our Sales and Technical teams have the support they need to deliver excellence. Key Responsibilities Quotation Generation: Collaborate with Sales and Technical teams to prepare accurate and timely client quotations, factoring in current supplier pricing, currency exchange, and margins. Order Administration: Manage the end-to-end administrative workflow by generating Sales Orders (SO) upon client acceptance and converting them into accurate Purchase Orders (PO) for suppliers. Technical Verification: Liaise with the Technical Team to ensure part numbers, specifications, and descriptions on Quotes and Orders are technically accurate before processing. Strategic Sourcing: Identify and vet reliable suppliers for marine parts (OEM and aftermarket) and vessel services within Greater China and Southeast Asia. Cost Negotiation: Analyze market pricing to negotiate favorable terms, bulk discounts, and payment conditions with suppliers to maximize company profitability. Supply Planning: Coordinate with the Sales team on upcoming projects to forecast demand and ensure critical parts are sourced with minimal lead time. Supplier Relations: Maintain strong relationships with manufacturers and distributors, serving as the primary point of contact for order updates and discrepancies. Logistics Coordination: Oversee international freight and local delivery logistics to ensure parts arrive at shipyards or client locations on schedule. Dispute Resolution: Handle any issues regarding damaged goods, incorrect shipments, or warranty claims promptly. Requirements & Qualifications Essential Qualifications Experience: Minimum 2+ years of experience in Procurement, Sales Support, or Supply Chain Administration. Industry Expertise: Experience in the Marine Industry (spare parts/technical services) is highly preferred. Candidates from Automotive, Heavy Equipment, or Engineering sectors are also encouraged to apply. Education: Diploma or higher qualification in Supply Chain Management, Business Administration, or Engineering. Core Competencies Administrative Precision: High attention to detail regarding part numbers, pricing figures, and order documentation. Experience with ERP or Inventory Management systems is a distinct advantage. Communication: Fluent in English and Cantonese/Mandarin (written and verbal) to effectively coordinate between local technical teams and international suppliers. Team Collaboration: A service-oriented mindset with the ability to support fast-paced Sales and Technical teams effectively.
