Position Overview:

The Analyst/Coordinator for Purchase Order (PO) Management will be responsible for supporting our customers' procurement process, focusing on tracking and managing purchase orders and their shipments. This role demands attention to detail and a solid understanding of supply chain dynamics, vendor management, procurement, and shipping processes. The Analyst/Coordinator will work diligently to ensure the accurate and timely creation, documentation, and execution of purchase order management for our customers, ensuring all required milestones in their supply chain are met.

Daily Tasks:
  • Review and update purchase order data within the Infor Nexus platform.
  • Verify and update shipping order information from vendors in Infor Nexus.
  • Coordinate shipments effectively with local EFL offices, NVOCCs or Ocean Carriers in Asia to ensure timely delivery.
  • Manage carrier bookings, Shipping Instructions (SI), and Importer Security Filings (ISF) for smooth logistics operations.
  • Address inquiries and provide necessary information promptly to origin or destination stakeholders.
  • Provide support to EFL origin offices as needed, ensuring seamless communication and operations.
  • Ensure accurate data entry into the Infor Nexus system for comprehensive tracking and reporting.
  • Serve as the central point of contact and control tower for origin order management operations, overseeing all aspects of the process.
  • Collaborate with vendors, offering assistance and guidance on system-related queries to ensure smooth operations.
  • Management and monitoring of carrier event milestones.
  • Management of commercial documents from shippers and carriers for upload into the Infor Nexus platform.
Requirements:
  • Education: A bachelor's degree in supply chain management, logistics, business administration, or a related field.
  • Experience: Previous experience in logistics, supply chain management, or procurement roles, preferably in a similar industry or environment.
  • Technical Skills: Proficiency in using logistics management software such as Infor Nexus, CargoWise, or similar platforms. Familiarity with Microsoft Office Suite, particularly Excel for data analysis and reporting.
  • Communication Skills: Excellent verbal and written communication skills are essential for coordinating with internal teams, external vendors, and clients.
  • Analytical Skills: Strong analytical abilities to review and interpret data, identify trends, and make informed decisions to optimize logistics operations.
  • Attention to Detail: Meticulous attention to detail to ensure accuracy in data entry, order tracking, and shipment coordination.
  • Problem-Solving Abilities: Proven problem-solving skills to address challenges that may arise during the procurement and logistics process, such as shipment delays or inventory discrepancies.
  • Organizational Skills: Effective organizational skills to manage multiple tasks simultaneously and prioritize workload to meet deadlines.
  • Teamwork: Ability to collaborate effectively with cross-functional teams and external stakeholders to achieve common goals.
  • Adaptability: Flexibility to adapt to changing priorities, unexpected issues, and evolving business needs in a fast-paced environment.
  • Language Skills: Fluency in Mandarin is required, as well as proficiency in English, to effectively communicate with stakeholders in both languages. Fluency in Cantonese or any other Asian language is a plus.
