Job Description The Office Manager is responsible for overseeing facilities and reception for the HK office, ensuring effective office management and a positive professional image to callers and visitors. Manage the reception – oversee the telephony, ensuring calls are dealt with promptly, efficiently and courteously; manage bookings for meeting room facilities and welcome/sign-in guests. Monitor and quality control all office maintenance (air-conditioning, office equipment, copiers, cleaning, waste management); liaise with building services manager and supervise maintenance projects and staff on site. Ensure health and safety standards are met, including regular checks, and that fire wardens and first aid are in place. Purchase office consumables, materials and stationery, balancing quality and cost. Address security matters: organize/cancel security passes with building manager, program security fobs, handle out-of-hours alarm issues; work with disaster recovery team for emergencies. Implement sustainable office practices, including recycling. Manage the facilities and reception budget, review quotations for equipment and maintenance. EA Duties Act as Executive Assistant to the HK investment team when necessary. Manage the company archiving system. Handle miscellaneous tasks such as binding, printing documents, ordering business cards, catering for events/meetings, and courier services. Maintain relationships with third- party service providers. Organise company social events. Support the London finance team in HK-related invoice processing, document filing, etc. Assist HR functions: onboarding of new staff and off-boarding leavers. Requirements Excellent organization and planning skills. Strong communication and interpersonal effectiveness. Reliable, conscientious, detail-oriented. Sound budgeting and resource management knowledge. Effective ambassador for the firm, confident dealing with people. Strong problem-solving, calm, balanced, can-do attitude. Knowledge of health and safety obligations and protocols. Proven ability in Excel, PowerPoint, Word. Fluent in English and Chinese (Mandarin and Cantonese).
