Role Overview We are seeking a meticulous and diligent Travel Desk Specialist to join the team in Hong Kong. This is an exciting and fast paced role where you will oversee end-to-end travel coordination for both internal and external stakeholders. The ideal candidate is highly efficient, proactive and someone who thrives in an international and dynamic setup whereby you are required to manage stakeholders across multiple regions. Key Responsibilities Coordinate travel for both internal and external stakeholders to and from global and regional events, including booking of flights, accommodation and ground transportation. Oversee travel communications and ensure overall compliance with internal company guidelines. Process and reconcile travel expenses. Maintain internal travel databases, booking systems and vendor management platforms. Troubleshooting and managing last minute changes and implementing solutions to avoid disruptions to travel plans. Coordinate with internal and external teams and vendors to ensure timely and accurate travel arrangements across multiple event locations. Requirements Minimally 4-10 years of relevant experience in travel coordination, team assistant, secretarial, office administrative or related roles. Able to work independently, being able to multitask and deliver results efficiently and quickly for competing priorities and time-sensitive requests. Service oriented and confident in a high touch, front facing role to liaise with diverse external stakeholders and be a strong brand representative of the firm. Excellent command of the English language, both verbal and written. Ability to speak Cantonese is looked upon favourably to liaise with local vendors. Meticulous, highly organised, and comfortable with a high volume environment, with a keen eye for detail in managing travel arrangements accurately. Able to provide round-the-clock support as and when needed for urgent scheduling of travel related matters, while being mature and professional. Proficient in common office and collaboration tools (Microsoft Suite etc.), with familiarity with workflow management platforms like Jira being an added advantage.
