Responsibilities Monitoring, reviewing, keeping track of and controlling operating expenses (OPEX) and capital expenses (CAPEX) of the team. Maintaining accurate spending records and filing related payment records. Supervising and coordinating with the workplace operation team to ensure accurate bookkeeping for tracking expense, status of purchase orders (PO), goods receipt, invoicing and daily accounting functions, including but not limited to execution in payment and invoice processes, creating and/or reviewing purchase orders (PO), petty cash handling and reimbursement. Providing administrative and clerical support to contract management, such as new vendor registration, maintaining an updated vendor list, and collecting user requirements for updating service specifications. Providing administrative support to corporate vehicle services, including planning and arranging vehicle maintenance, licence renewal and insurance-related issues, and coordinating with service provider on employee shuttle services. Coordinating with stakeholders for arrangement and following-up action for record‑management service requests and general office supplies orders, including business card ordering, stationery and office supplies coordination. Assisting in preparing reports, including monthly service reports and presentation decks. Preparing incident reports, correspondence, letters, notices and SharePoint site updates relating to workplace services. Providing support for meetings / staff events / corporate events, when required. Performing any other duties from time to time as reasonably assigned by the Authority. Qualifications Possess a Higher Diploma or equivalent in Facilities Management, Property Management, Business Administration, or equivalent. Have a minimum of 3 years of relevant work experience; prior experience in office administration, property or facility services is preferred. Holder of a valid Hong Kong Driving Licence Type 1 is an advantage. Have excellent customer service and communication skills. Be able to independently under pressure. Be proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and word processing. Experience in Microsoft 365 and an ERP system (preferably Oracle) would be an advantage. Have good command of both spoken and written English and Chinese (including Cantonese and Putonghua).
