Assistant to Managing Director (Strategic facilitator with Digital fluency) As METRO Sourcing strengthens its operational backbone, the Assistant to the Managing Director will ensure the smooth running of the MD’s office and act as a strategic facilitator. This role goes beyond traditional administrative support to include coordinating and occasionally leading cross‑functional projects that impact sourcing, finance, and operations. The position requires strong business acumen and project management skills to drive collaboration, ensure timely execution, and support the MD in achieving organizational priorities. Key Responsibilities Use tools like Microsoft 365, SharePoint, to organize strategic documents, data visualizations, and dashboards. Act as a first‑line user of AI assistants (e.g., Copilot, ChatGPT) for synthesizing documents, summarizing meetings, and drafting communications. Executive Support & Coordination Manage the MD’s calendar, including internal meetings, supplier visits, and HQ engagements. Prepare meeting agendas, minutes, and follow‑up actions. Represent the MD in coordination calls or pre‑meetings when required. Assist in drafting presentations and communications for internal and external use. Support and occasionally lead cross‑department projects. Develop timelines, track deliverables, and ensure stakeholder alignment. Provide regular updates and risk assessments to the MD. Office Administration Oversight Supervise two office administration team members, ensuring efficient daily operations. Oversee general office matters including supplies, maintenance, vendor relationships, and service quality. Coordinate with headquarters on insurance, compliance, and administrative policies. Act as a key contact point between the MD’s office and METRO headquarters for operational matters. Liaise with sourcing teams, finance, and other departments for scheduling, documentation, and logistics. Support planning and execution of internal events, team meetings, and supplier visits. Prepare communications and presentations for internal townhalls and board updates etc. Travel & Logistics Organize complex travel itineraries for the MD and visiting stakeholders. Ensure travel arrangements comply with company policies and budget guidelines. Monitor travel service providers and maintain records for reporting and analysis. Talent that we are looking for Strong business acumen with understanding of sourcing, finance, and operational processes. Experience in international trade and sourcing. Familiarity with multicultural, matrixed environments. Proactive and service‑oriented mindset with a strong sense of ownership. Experience, knowledge and skills required Bachelor’s degree in Business Administration, Communications, or related field. Minimum 5 years of experience supporting senior executives or managing office operations. Strong proficiency in Microsoft Office tools (Outlook, Teams, Excel, Word), also familiar with the AI usage. Experience in Project Management and ability to lead initiatives when required. Excellent organizational, communication, and interpersonal skills. Ability to manage multiple priorities independently and with discretion. Proficient in both spoken and written English and Mandarin.
