Executive Administrator, APAC

Coordinate meeting arrangements for APAC teams, including internal meetings, external meetings, and translation. Prepare meeting agendas, send invitations, record minutes, and follow up on action items. Travel Arrangement Manage team members' business travel, including flight bookings, hotel reservations, visa applications, transportation coordination, and itinerary planning. Track travel expenses, prepare reimbursement reports, and submit them for approval to the Finance department. Administrative Support and Document Management Handle email correspondence, communications, and document processing, including drafting letters, preparing reports, and archiving data. Maintain confidential documents and information, ensuring compliance with regulations and confidentiality agreements. Assist in organizing team events, such as regional training, team-building activities, or client meetings, including venue bookings and logistical support. Cross-Departmental Coordination Liaise with HR, Finance, IT, and other departments to address administrative inquiries and support needs. Provide personal administrative support to President of APAC. Office Operations and Reporting Prepare regular reports, such as travel expense summaries or meeting statistics. Handle ad-hoc administrative matters and provide immediate support to maintain team efficiency. Requirements Experience At least 8 years of relevant experience as an Administrative Assistant or Executive Assistant, preferably in logistics, transportation, or multinational companies. Familiarity with APAC travel arrangements and multi-time-zone coordination. Experience supporting multiple senior executives or regional teams is preferred. Education Bachelor’s degree or above, preferably in Administrative Management, Business Administration, Hospitality Management, or a related field. Possession of relevant professional certifications, such as Certified Administrative Professional (CAP) is an advantage. Skills and Abilities Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook). Excellent organizational, time management, and multitasking skills, with the ability to work under pressure. Strong communication and interpersonal skills, with problem-solving capabilities. Language Requirements Fluent in English and Chinese (Mandarin and Cantonese) including listening and writing. Additional Asian languages (e.g., Japanese, Korean) are an advantage.
