Position Overview
The Event Executive reports to the Senior PR Manager and holds the responsibility of planning, organizing, and executing events, meetings, and projects for the brand. They oversee all operational aspects, ensuring seamless implementation and handling post-event activities and activations.
Responsibilities:
Maintain an organized event schedule and implement a systematic approach to enable long-term planning and efficient management of brand activities. Establish clear work schedules, assign tasks, and effectively allocate resources to ensure alignment with objectives and goals. Assess the financial requirements of events, providing well-informed budget recommendations and conducting thorough evaluations. Foster close collaboration with both internal and external event planning teams, working together to define the brand's objectives, goals, activation plan, required tools, and specific implementation strategies. Take charge of project planning, conducting thorough research to identify suitable venues and target markets. Recommend and secure reliable catering services, acquire necessary technology, develop comprehensive project briefs and proposals, prepare compelling documents, and coordinate the production of materials to ensure successful project execution. Engage in negotiations with external providers and subcontractors to secure cost-effective services without compromising on quality. Manage the procurement and service requirements for various aspects of the event, including catering, audio-visuals, production, security, venues, hostess services, and logistics. Supervise, direct, and coordinate the activities of personnel, subcontractors, and vendors involved in the event, ensuring their contributions align with the overall objectives and goals. Proactively troubleshoot and address any issues that arise during the event, ensuring a smooth and successful execution of all program-related activities. Collaborate closely with the CRM and store teams to effectively promote events to the target audience, monitor registration numbers, and gather accurate event specifications and forecasts for reporting purposes. Conduct post-event analysis, including budget closing, recaps, and participant feedback. Incorporate the lessons learned from each event to improve future planning and execution. Arrange travel logistics, including accommodations and transportation, as needed for the event and its participants.Requirements:
University degree or college diploma in business, marketing, communications, art and design, or related field 3-5 years of event management or related field experience Proven negotiation skills with vendors and suppliers Strong problem-solving and organizational abilities Excellent communication and computer skills Ability to work independently and meet deadlines Team player with a willingness to learn Fluency in English-
