We are seeking a detail-oriented and proactive administrative assistant to support our HR team. This role requires a strong ability to assist with HR operations, manage day-to-day administrative tasks, and provide support in a dynamic and fast-paced environment. The ideal candidate will be organized, adaptable, and able to handle multiple responsibilities with ease.

Key Responsibilities:

  • Office Management:
    • Oversee the replenishment and ordering of office pantry supplies.
    • Ensure the office supplies and equipment are well-maintained and stocked.
  • HR Operational Support:
    • Assist with the onboarding and offboarding process, including preparing access cards and other necessary documentation.
    • Support the People Operations team on payroll preparation.
    • Assist with vendor management, ensuring timely and efficient service delivery.
    • Handle any ad-hoc administrative or operational tasks as required to support the team and ensure smooth office operations.
  • Employee Experience:
    • Support the planning and execution of employee experience events.
    • Assist with the management of employee experience at other campuses across Hong Kong.
  • IT and Asset Management:
    • Collaborate with the IT department to manage company equipment and other assets related to employee usage.
    • Ensure proper tracking and maintenance of office and IT equipment.

Qualifications:

  • High school diploma or equivalent; further education in office administration or HR is a plus.
  • Previous experience in office administration or HR support is preferred.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong understanding of up-to-date AI tools is a MUST.
  • Knowledge of HRIS system is a PLUS.
  • Ability to multitask and prioritize tasks effectively.
