In this exciting opportunity, you will serve as a vital member of the executive team, providing exceptional administrative support and driving operational excellence across the agency.

Main Responsibilities
  • Coordinate the CEO's calendar, travel arrangements, and correspondence, maintaining strict confidentiality.
  • Serve as a conduit between executives and internal/external stakeholders, ensuring seamless communication and follow-ups.
  • Develop and disseminate critical reports, presentations, and meeting materials as required.
  • Monitor and track project progress, ensuring timely delivery of key milestones.

Key Performance Areas:

Operational Effectiveness
  • Ongoing analysis and improvement of internal processes to maximize agency efficiency.
  • Proactive support for company-wide initiatives, aligning with business goals and best practices.
  • Design and implementation of streamlined administrative procedures, incorporating vendor management and office administration.
HR Function Support
  • Collaboration with HR on key activities, including recruitment, onboarding, and employee data management.
  • Contributions to performance evaluations, training, and employee engagement initiatives.
  • Ensuring adherence to HR policies and labor laws.
  • Coordination with finance teams to manage payroll inputs and benefits.

Essential Requirements:

  • At least 3-4 years of experience in an HR or administrative role, preferably in a PR, comms, or creative agency.
  • Demonstrated ability to multitask and prioritize efficiently.
  • Fluent bilingual skills in English and Mandarin Chinese, coupled with excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and other productivity tools (Google Workspace, project management software).
  • Knowledge of HR processes, employment regulations, and best practices.
  • Ability to handle confidential information with discretion and professionalism.
  • A results-driven, solution-focused mindset with exceptional attention to detail.
