Location: Hong Kong Job Summary A contract-based Project Manager (mid January to mid March 2026) to support the Associate Directors, Experiential in managing exhibitor onboarding and enquiries for ComplexCon Hong Kong 2026. This role focuses on prefabricated booths and food & beverage (F&B) exhibitors, ensuring smooth coordination during the critical pre‑event phase. Key Responsibilities Lead the onboarding process for prefab and F&B exhibitors by closely monitoring submission of all required documents, ensuring alignment with deadlines, and proactively sending reminders and follow‑ups to keep the process on track. Handle all exhibitor enquiries (email, phone, WeChat, meetings) and provide clear, timely responses or escalations when necessary. Maintain accurate, real‑time records of exhibitor status, pending items, and communications. Coordinate with exhibitors to align on requirements such as space allocation, permits, and logistics, while ensuring adherence to event guidelines. Generate weekly reports on exhibitor progress, potential risks, and metrics (e.g., onboarding completion rates) to support decision‑making. Collaborate with internal teams to facilitate seamless exhibitor integration, without involvement in build/design partnerships. Requirements 2–3 years in event/exhibition project management with direct exhibitor or vendor coordination experience (trade shows, festivals, conventions — ComplexCon, Art Basel, HKTDC events, etc.). Proven track record of chasing and managing document submissions from 50+ exhibitors/vendors under tight timelines. Specific experience with prefab booth packages and F&B vendor requirements (licensing, hygiene certs, power/load‑in needs) strongly preferred. Highly organised, detail‑oriented, and comfortable sending firm but polite reminders and escalations. Excellent written and spoken English + Cantonese (Mandarin a plus); proficient in Google Workspace / Microsoft Office. Immediate availability and based in / able to work on‑site in Hong Kong during the contract period.
