Senior Event Coordinator

We are seeking a Senior Event Coordinator to own and execute events. You will be responsible for the end‑to‑end project management of each event, from initial briefing to on‑site delivery. The ideal candidate is a proactive, detail‑oriented professional with a proven ability to manage logistics, communicate effectively with senior stakeholders, and ensure the high standards of execution. Key Responsibilities Project Management & Execution Manage the end‑to‑end execution of events from the initial brief through to on‑site delivery and post‑event wrap‑up. Proactively manage the event timeline and swiftly resolve any logistical or operational issues that arise. Proactively identify and mitigate potential issues, troubleshooting in real‑time during events to maintain a seamless experience. Oversee the preparation and logistics for all event materials, including name cards, signage and F&B arrangements. Stakeholder & Communications Management Serve as the primary point of contact for all event stakeholders, including senior internal leadership, guest speakers, vendors, and venues. Own the event communication process, including the drafting and distribution of invitations, reminders, and all pre‑event information. Manage the RSVP process, accurately track attendance confirmations, and finalize participant numbers. Logistics & Operations Coordinate event‑related social activities and manage all associated travel and hotel bookings for speakers and attendees. Oversee on‑site operations, including vendor and venue staff coordination, to ensure all elements are delivered as planned. About You Qualifications & Requirements A Bachelor’s degree and a minimum of 3 years of professional experience in event management or a similar project coordination role. Full professional proficiency in English, Cantonese, and Mandarin is essential. Proven ability to manage multiple tasks and projects simultaneously in a fast‑paced environment, with exceptional organizational skills and a relentless attention to detail. A proactive, self‑motivated work style with the ability to work independently and a strong “get‑it‑done” attitude. Excellent interpersonal and communication skills, with the confidence to interact effectively with all levels of stakeholders. A reliable team player who demonstrates high integrity, adaptability, and sound judgment. Proficiency in Microsoft Office Suite is required; advanced skills in Excel are highly preferred. Must be flexible and committed, with the ability to work outside standard business hours and travel as required by event schedules.
