Job Title Personal Secretary II (Department of Otorhinolaryngology, Head & Neck Surgery) Reference Number KCC Position Personal Secretary II Rank Personal Secretary II Department / Hospital Department of Otorhinolaryngology, Head & Neck Surgery, Queen Elizabeth Hospital Pay HK$18,427 to HK$37,590 (HGPS point 3 to 15) per month including Monthly Allowance Up to 15% of total basic salary (after deducting the contribution of Mandatory Provident Fund by Hospital Authority) as end-of-contract gratuity may be offered to contract staff upon completion of the contract subject to satisfactory performance. Key Responsibilities Provide office administration, secretarial & clerical duties to support the daily operation of the department. Maintain diaries and schedule appointments/meetings for senior staff and the department. Provide support to coordinate manpower, e.g., recruitment, roster and leave planning. Answer enquiries, handle correspondences and provide reception services when necessary. Co‑ordinate meetings/programmes/activities, including producing agendas and taking minutes. Collate, coordinate and consolidate data and information for compilation of returns and reports. Devise and maintain good record filing and tracking of documents and files. Perform word processing, typing and data processing. Perform any other duties as assigned by supervisors. Minimum Entry Requirements Passes in 5 subjects in the Hong Kong Certificate of Education Examination including English Language (Syllabus B), or equivalent. OR 5 subjects in the Hong Kong Diploma of Secondary Education attaining the level specified below: • Level 2 in English Language, and • Level 2 in New Senior Secondary subjects or "Attained" in Applied Learning subjects (subject to a maximum of 2 subjects under this category) or Grade E in Other Language subjects; or equivalent. Typing speeds of 50 wpm with good skills in word processing. Knowledge of common office automation (email, internet/intranet) and PC applications (Excel, PowerPoint) & other secretarial skills (audio typing and shorthand) as specified by the user department. Good command of both spoken and written English and Chinese. Desired Qualifications & Experience Experience in secretarial work, office administration or role as personal assistant in a clinical department in HA. Certification in secretarial work or related training. Good knowledge of computer applications, e.g., MS Word, Excel, PowerPoint, Outlook and Chinese word processing. Proficiency in English writing and reading. Responsible, reliable, self‑motivated and able to work independently. Excellent skills in coordination and problem‑solving for smooth department operations. Excellent communication and interpersonal skills to work with internal & external parties. Ability to organise, maintain and retrieve information efficiently. Alternative Eligibility for Staff with 3 Years Experience If you do not meet the academic requirements but have 3 years’ experience within HAHO or HA hospitals/institutions in word processing or typing, you may be considered provided you: (a) Have Grade E or above in English Language (Syllabus B) in the Hong Kong Certificate of Education Examination; or Level 2 or above in English Language in the Hong Kong Diploma of Secondary Education; or equivalent. OR (b) Have passed the Hong Kong Government In‑service Personal Secretary II Qualifying Examination.
