In this role you'll have direct access to the founders and work alongside them on a daily basis. Role and Responsibilities The role is split into four primary focus areas, blending general office management with critical support functions across HR, Compliance, and Finance. I. Office Management & Administration Office Upkeep: Oversee the pantry, stationery, equipment, and general environment; act as the main point of contact for the office and reception. Logistics: Manage scheduling, meeting room bookings, and coordinate with couriers and vendors. Information Management: Maintain physical and digital filing systems (Google Drive, contracts, and agreements) with impeccable organization. II. HR & Statutory Filing Support HR Admin: Manage employee records, leave tracking, and the onboarding/offboarding process. Statutory Compliance: Assist with MPF submissions and IRD filings (e.g., IR56E, IR56F). Corporate Secretarial: Support the Director with annual returns (NAR1) and HK Business Registry updates. III. Finance & Compliance Assistance Financial Support: Manage bank statements, pre-watermark financials, and coordinate with external bookkeepers/auditors. Expense Management: Oversee company credit card reconciliations and employee reimbursements. Compliance: Assist with routine KYC/CDD onboarding and annual refreshers. IV. Special Projects In addition to daily operations, you will take ownership of key projects to scale our internal efficiency (Process Automation, Compliance Readiness, Digital Infrastructure, Vendor Optimization, and Strategy). Requirements Experience: 2+ years in an administrative, office management, or operations role. Mindset: Extremely organized and systematic. You are comfortable with a "clean inbox" philosophy and have high attention to detail for paperwork and data entry. Reliability: Impeccable ethics; you handle confidential HR and financial data with total discretion. Tech Savvy: Proficient in Google Workspace , Slack , and Trello . You are eager to learn new web-based tools and can "Google your way" to a solution. Proactive: Able to move forward with minimal supervision and prioritize tasks effectively in a fast-paced environment. Nice to Haves Have experience in a quantitative trading firm (either tradfi or crypto native) Experience and understanding of the various major crypto exchanges Work for a fast-paced, exciting, and profitable crypto/fintech startup. High potential for professional growth, including learning more about crypto. This role provides extensive exposure across multiple administrative functions, including HR administration, Compliance, Accounting/Finance reporting, and IT coordination.
